16 practical strategies to fight back

Start by understanding why customers are returning your products

Before focusing on fraud, identify which refunds are caused by actual product, listing, or fulfillment problems.

Walmart’s Returns Insights dashboard provides SKU-level return information.

Walmart says sellers should maintain a seller-responsible Refund Rate of less than 6%.

Go to Seller Center → Orders → Returns → View Returns Insights

Look for SKUs with unusually high return rates.

Don’t look only at the number of returns. Look at the cost of the returns.

For example:

SKU A

  • $20 product
  • 8% return rate
  • $300 total monthly return loss

SKU B

  • $400 product
  • 3% return rate
  • $2,800 total monthly return loss

SKU B may deserve more attention even though its return rate is lower.

Reduce legitimate returns before fighting fraudulent ones

Walmart analyzed its own return trends and identified three major preventable return drivers:

Defective, damaged or wrong products

  • Make sure all parts are included.
  • Check products for defects.
  • Use packaging appropriate for the product’s size and weight.
  • Make sure UPCs are mapped to the correct products.

Incorrect listing information

  • Images accurately represent the product.
  • Titles are correct.
  • Dimensions are clear.
  • Compatibility information is clear.
  • Included accessories are listed.
  • Product variations are mapped correctly.
  • Key features match the actual product.

Action

Take your 20 SKUs generating the most refund dollars and manually review their:

  • Listing
  • Images
  • Description
  • Compatibility information
  • Packaging
  • Shipping performance
  • Return reasons

Fixing five problematic SKUs may be more effective than trying to manage hundreds of individual returns.

Check your live listings regularly. Sellers report cases where pack quantity or product details changed, causing customers to expect something different from what was shipped. Pay special attention to quantity, variations, images, compatibility, and setup instructions.

Be aware that updating Walmart listings can take time. Many listings are locked, and you may need to prove your information is more accurate by providing product photos or links to the manufacturer’s website. At GeekSeller, we help sellers with this process, and we often see updates take several weeks, with some changes not possible at all. Start the process as early as possible.

Delivery problems

Delivery issues usually come from shipping late or carrier problems.

  • Check your shipping performance and adjust your cutoff time if needed. The lowest you can go is 11 AM.
  • Adjust lag time. You can use 0 or 1 day without approval. Getting 2 days approved is very difficult.
  • If USPS is not scanning packages on pickup, try using an End-of-Day SCAN form.
  • Consider switching to UPS or FedEx if they are more reliable, even if they cost more. Check the math. Paying a little more for shipping may be worth it if it reduces refunds and delivery problems.

Record serial numbers for high-value products

This is one of the most commonly mentioned practices among sellers dealing with return fraud.

For products with serial numbers, record the exact serial number shipped with every Walmart order.

Useful categories include:

  • Electronics
  • Computers
  • Cameras
  • Gaming devices
  • Appliances
  • Power tools
  • Expensive equipment

What to record:

  • Walmart PO number
  • SKU
  • Serial number
  • Shipment date
  • Tracking number
  • Photos (Serial number / identifier close-up)

Action

For expensive products, create a simple database:

Order | SKU | Serial Number | Tracking | Photos

If a suspicious return arrives, compare the returned serial number with your original record before submitting a dispute.

Product swapping

A common type of return fraud is product swapping.

Example:

You ship a new electronic device.

The customer returns:

  • An older version
  • A broken unit
  • The same model with a different serial number
  • A completely different product

Serial-number tracking is a common way to protect against product-swapping fraud. Keeping a record of the serial number connected to each order can provide useful evidence if a customer returns an older, damaged, or different unit.

For example, if a $1,000 electronic device is returned with a serial number that does not match the unit originally shipped, the seller has clear documentation showing that the returned product is different.

Photograph expensive orders before shipping

For higher-risk products, consider documenting what you are shipping.

Take photos showing:

  • Product
  • Serial number
  • Product condition
  • Accessories
  • Packaging
  • Shipping label

Ideally, keep everything associated with the Walmart order number (use spreadsheet created in the step 3).

Know What Walmart Will Ask For in a Dispute

Collecting photos doesn’t guarantee that Walmart will approve a dispute, but it gives you evidence if the customer sends back something different.

Walmart specifically asks sellers for images in several dispute situations.

For example, if the customer returns:

  • An empty box
  • An incomplete product
  • A completely different product
  • A product damaged by the customer

Walmart tells sellers to provide all your photos and the return shipping label as supporting evidence.

Inspect and document returns immediately

Don’t wait several days before opening returned packages.

Have someone review Walmart returns every business day.

When a questionable return arrives

  • Keep the shipping box.
  • Keep the return label.
  • Photograph the package.
  • Photograph the returned item.
  • Photograph the serial number.
  • Check accessories.
  • Compare the returned item with your original shipment records.

Walmart gives sellers 48 hours after receiving a return to evaluate it before Walmart automatically refunds the customer.

Even after the automatic refund, an eligible dispute can generally still be submitted for up to 45 days from the return date.

Don’t throw away the return box

Keep the product, packaging, return label, and photos until the dispute and any appeal are fully closed.

Sellers report losing disputes simply because the return label was already discarded.

Know what Walmart may reimburse

  • Different product returned
    If a customer returns a completely different item, an approved dispute may qualify for 100% of the sale proceeds.
  • Empty box or missing item
    Provide photos and the return shipping label. If approved, Walmart may reimburse the applicable sale proceeds.
  • Unsellable return
    This can include customer damage, missing accessories, used merchandise, destroyed packaging, or a locked device. An approved dispute may qualify for 20% of the item value, excluding return shipping.
  • Delivered but reported missing
    Evidence can include signature confirmation, carrier delivery photos, or customer messages confirming receipt. If approved, the seller may receive 100% of the sale proceeds.

Use strong proof of delivery

“Item not received” or “lost after delivery” claims are frequently discussed by Walmart sellers.

For expensive orders, consider stronger delivery evidence.

This may include:

  • Carrier tracking
  • Delivery photo
  • GPS-supported carrier delivery record
  • Signature confirmation
  • Signed bill of lading for applicable shipments

Walmart specifically recognizes several of these as supporting evidence for a dispute.

Action

Consider stronger delivery confirmation for products where one fraudulent refund could cost significantly more than the additional shipping service.

For example:

$15 product: signature confirmation probably makes little economic sense.

$750 product: signature confirmation and stronger documentation may be worth considering.

Can you actually win these disputes?

Yes. Sellers do win Walmart delivery disputes when they have strong documentation. We see GeekSeller customers successfully recover funds, and sellers on Reddit also share examples of winning appeals using tracking, delivery photos, and other proof of delivery.

Ask Walmart to review suspicious orders before shipping

Walmart already screens Marketplace orders for fraud.

When Walmart detects suspected fraud before shipment, it may automatically cancel the order.

If Walmart identifies fraud after sending the order to the seller, it can send a “Fraud – Stop Shipment” notification.

More importantly, sellers can request a fraud review themselves.

If an order looks suspicious:

  1. Open the suspicious order in Seller Center.
  2. Select Cancel Order.
  3. Choose Cancel – Fraud, stop shipment.
  4. Click Contact our Walmart Risk Prevention team.
  5. Include the order number in your message.

What to expect from Walmart Risk Prevention

  • Walmart says it will review the order within about 4 hours.
  • If no fraud is found, fulfill the order normally.
  • If fraud is confirmed, Walmart cancels the order.
  • A confirmed fraud cancellation does not negatively affect seller performance.

Walmart flagged fraud after you shipped. What now?

If you receive a “Fraud – Stop Shipment” email after the order has already shipped, act quickly.

Contact the carrier! Ask UPS, FedEx, USPS, or your carrier to stop/intercept the shipment and return it to you.

If you successfully stop it and once the package is returned:

  • Refund the order
  • Contact Walmart Seller Support
  • Include the order number
  • Attach the Fraud – Stop Shipment email
  • Provide the invoice for the return shipping charge

Walmart says it will reimburse the return shipping charge, typically within 60 days.

If you cannot stop it

Reply directly to Walmart’s Fraud – Stop Shipment email and let them know.

If the fraudulent order is ultimately delivered, Walmart says:

Do not refund the customer. You will still be paid through the normal payment process.

Dispute eligible refunds

Don’t assume every Walmart refund is final.

Walmart allows disputes for several situations, including:

  • Wrong item returned
  • Empty return
  • Missing components
  • Customer-damaged merchandise
  • Certain delivery disputes
  • Certain failed deliveries
  • Incorrect refund amounts
  • Returns outside the allowed window

Each dispute type has different requirements and reimbursement rules.

Only submit disputes with accurate information and the correct reason. Walmart warns that false, misleading, or inaccurate disputes can result in warnings, suspension, or account termination.

A simple formula sellers can follow

Create a return-dispute workflow instead of handling disputes randomly.

  1. State what happened
  2. State what you expected to receive
  3. Explain exactly what is wrong
  4. List your evidence
  5. Ask for the applicable reimbursement

Only submit disputes that accurately match the situation.

Sample Walmart Dispute Template

We shipped: New camera, serial #1234567
We received: Used camera, serial #7654321
Evidence: Return label + photos + original serial record
Request: Reimbursement for incorrect item returned

We also suggest creating a simple dispute file for every case: photos, serial numbers, return label, case number, deadline, decision, and appeal status. This makes follow-up much easier.

Appeal legitimate disputes that were denied

A denied dispute is not necessarily the end of the process.

Walmart currently allows one appeal of an eligible dispute decision.

The appeal must be submitted within 30 days of the initial denial or decision.

To submit an appeal, select the Help button in the Seller Center menu bar to contact Support.

Use the appeal to provide stronger evidence, not simply to repeat the original claim.

Add things such as:

  • Better photos
  • Serial-number records
  • Tracking
  • Delivery photo
  • Signature confirmation
  • Customer messages
  • Explanation connecting the evidence to Walmart’s policy

Can a denied dispute still be approved?

Yes. We see GeekSeller customers win appeals after an initial denial. An appeal gives you another chance to have Walmart review the case, especially if you can provide missing or stronger evidence such as delivery photos, tracking, signatures, serial numbers, or return photos.

Consider Ship with Walmart for delivery-related protection

Ship with Walmart (SWW) is Walmart’s shipping-label program for seller-fulfilled orders. You buy the shipping label through Walmart, while you still pack and ship the order yourself.

Using SWW can give you extra protection for some delivery-related refunds.

For eligible orders, Walmart may protect you when a package is:

  • Lost in transit
  • Reported lost after delivery

Walmart can cover up to $100 of the qualifying refund, handle the carrier claim, and protect certain seller performance metrics.

Important SWW Limitations

The standard $100 protection does not cover:

  • Shipping label charges
  • Other fulfillment-related fees
  • Carrier-caused damage

For orders above $100, the seller may still be responsible for the remaining amount.

When purchasing a Ship with Walmart label, sellers can also add optional carrier-declared value protection up to $500 for higher-value shipments.


Example

  • Order refund: $80
  • SWW shipping label: $11
  • Qualifying lost-after-delivery claim:
    • Walmart may protect the seller from the $80 refund
    • The $11 shipping cost remains an expense.

Consider WFS for stronger delivery and return protection

Walmart Fulfillment Services (WFS) stores, ships, and handles returns for your Walmart orders. It can also provide stronger protection against some delivery problems and fraudulent returns.

Walmart at fault

For WFS orders, Walmart may consider issues such as these Walmart at fault:

  • Lost in transit
  • Lost after delivery
  • Damaged in transit
  • Late delivery
  • Unable to deliver
  • Shipping-box damage

For these cases, Walmart generally refunds the customer while the seller keeps the original sales proceeds, although Walmart keeps applicable WFS fulfillment and referral fees.


Example

A $350 WFS order is delivered, but the customer reports it missing. If Walmart determines it is a Walmart-at-fault case, the customer can be refunded while the seller keeps the original sales proceeds.

WFS can also help with fraudulent returns. Walmart says its fulfillment centers may report suspicious returns to its fraud team. If fraud is confirmed, Walmart may recharge the customer and reimburse the seller.

For example, if a customer returns an old or different product instead of the item you sold, Walmart may investigate the return and reimburse you if fraud is confirmed.

Important WFS limitations

WFS does not protect you from every refund. Seller or customer-related reasons can still result in losing the sale and paying return-related fees, including:

  • Not as described
  • Defective product
  • Missing parts
  • Wrong size
  • Poor quality
  • Compatibility problems
  • Customer changed their mind

Use Keep It Rules carefully

Walmart’s Keep It Rules allow customers to receive a refund without shipping the product back.

This can make economic sense for low-value merchandise.

Example:

  • Product value: $10
  • Return shipping: $8
  • Inspection/restocking cost: $2

Paying to return the product doesn’t make sense.

Walmart also offers Partial Keep It, where the customer keeps the product and receives a partial refund.

When Keep It Makes Sense

Use Keep It when returning and processing the item would cost more than the value you expect to recover from getting it back.

Don’t apply one broad rule across your entire catalog without looking at fraud and return patterns by SKU.

Fraud consideration

Be careful using Keep It for higher-value or frequently abused items.

Under Walmart’s Dispute Standards, items covered by Keep It Rules generally cannot later have those charges disputed.

For WFS, Walmart says it may override a Keep It Rule when it suspects potential customer fraud and require the customer to return the item instead.

Track repeat refund patterns

Walmart Seller Center provides return data, but sellers handling large volumes may benefit from additional internal analysis.

Possible risk signals include:

  • Unusual Keep It activity
  • Same customer repeatedly ordering the same SKU
  • Multiple orders from the same address
  • Several returns from the same customer
  • Repeated “incorrect item” returns
  • Repeated “not as described” claims
  • Multiple “item not received” refunds
  • Same-day duplicate orders
  • Expensive products repeatedly refunded

Real Seller Example: Tracking Return Risk

One Walmart seller on Reddit shared an internal system they built to flag:

  • Repeat buyers
  • Same-day duplicate orders
  • Multiple returns
  • Certain recurring return reasons
  • Keep It refunds
  • Customer-level risk patterns

This is a seller-reported strategy, not an official Walmart feature or Walmart recommendation.

Watch for changes in return reasons

For example, a return may first be opened as “Lower price,” canceled, then reopened as “Defective.” This does not prove fraud, but it is worth flagging.

Create a simple fraud and refund workflow

For seller-fulfilled orders, a practical process could look like this:

Before shipment

  • Flag unusually high-value orders.
  • Record serial numbers.
  • Photograph high-value products.
  • Save shipping documentation.
  • Request Walmart fraud review when an order looks suspicious.

During shipment

  • Monitor Walmart Fraud – Stop Shipment notifications.
  • Use reliable tracking.
  • Consider stronger delivery confirmation for expensive orders.
  • Consider Ship with Walmart protection.

When a return arrives

  • Inspect within 48 hours.
  • Keep the box and label.
  • Photograph everything.
  • Compare serial numbers.
  • Compare product condition.
  • Check accessories.
  • Determine the correct Walmart dispute reason.

After a refund

  • Review settlement data.
  • Calculate actual loss.
  • Submit an eligible dispute.
  • Track the dispute decision.
  • Appeal once when the evidence supports it.
  • Update your SKU/customer risk history.
